What this opportunity involves:
As a Facilities Support Coordinator at JLL, you'll be the professional face of the client organisation, ensuring seamless day-to-day operations across our managed facilities. This role is central to delivering exceptional Facilities Management and Business Support Services while maintaining safe, compliant, and welcoming workplaces. You'll coordinate everything from office relocations and visitor management to billing administration and contractor oversight, working closely with suppliers and internal teams to exceed key performance indicators. An overview of the role:
Coordinate the end-to-end office move process for relocations and new employees, including physical moves, phone transfers, equipment setup, and maintaining accurate databases to track all movementsManage visitor access and security procedures by escorting visitors, issuing security passes, registering arrivals, providing area inductions, and maintaining lost and found repositoriesOversee billing and financial administration by verifying supplier invoices against delivered services, processing receipts, resolving discrepancies, and ensuring all invoicing meets fiscal regulationsConduct regular floor walks throughout tenancies to identify maintenance needs, coordinate quotes for repairs, and ensure premises remain in excellent condition at all timesMonitor and maintain inventory levels for stationery and supplies, balancing cost efficiency with availability while minimising redundant stockEnsure workplace compliance and safety by managing contractor permits, reporting security incidents, performing minor repairs and maintenance, and adhering to OH&S legislationAdminister security card access requests, locker assignments, and communal space management while ensuring these areas remain clean and well-maintainedLearn and utilise new workorder and compliance software systems to streamline operations and maintain accurate recordsIdentify opportunities to reduce costs and improve operational standards through continuous improvement initiatives

Minimum one year of experience in administration or facilities support rolesStrong customer service orientation with a proactive and professional approach to problem-solvingExcellent interpersonal and communication skills with ability to present a friendly, professional corporate imageCompetency in Microsoft Office products including Word, Excel, and OutlookDemonstrated ability to prioritise workload and manage multiple projects efficiently in a fast-paced environmentSelf-motivated and confident with ability to work independently while contributing to team objectivesFlexibility and adaptability to respond to rapidly changing situations and requirementsProven honesty, trustworthiness, and discretion when handling sensitive informationExperience working in corporate facilities management or business support services environments (preferred)Understanding of workplace health and safety regulations and compliance requirements (preferred)Familiarity with workorder management and compliance software systems (preferred)
