About You

You are an organised and proactive administrator who enjoys keeping projects, people and information moving in the right direction. You have strong attention to detail, communicate clearly, and are comfortable supporting multiple stakeholders in a busy project environment.  

You take pride in maintaining accurate records, following processes and helping teams stay coordinated, prepared and on track. You are confident using Microsoft Office tools including Teams, Excel, PowerPoint and Word. 
To be successful in this position, you will have the ability to manage competing priorities and thrive in a fast-paced environment. 

What you’ll be doing 

• Provide day-to-day administrative, documentation and coordination support to the Project Team.
• Support meeting governance, including booking rooms, preparing materials, taking minutes, generating minutes from Teams transcripts and tracking actions.
• Assistwith document formatting, presentations, SharePoint and information management hygiene, projectregistersand deliverable tracking.
• Coordinate travel, accommodation, project functions, workshops,town hallsand meetings with internal teams and external parties.
• Support project workstreams including engineering, regulatory approvals, procurement,stakeholderand communications, legal, commercial and finance.
• Assistwith vendor setup, month-end accrual support, land access registers, consultation software updates, onboarding, accessrequestsand distribution lists.
• Provide administrative support to the Project Office, the wider business and, whenrequired, the Executive Assistant and Lochard Leadership Team.

Job Responsibilities

What you’ll need 

• At least threeyears' experience working as an administrator in a project or operational environment.
• Excellent communication, stakeholder management and interpersonal skills.
• Strong organisation skills, attention to detail and ability to manage competing priorities.
• Ability to work collaboratively and effectively in a team environment.
• Strong Microsoft Office capability across Teams, Excel, PowerPoint and Word.
• Availability to work from the Southbank office under hybrid working arrangements, with some travel to regional Victoria as required.
• Experience in the energy industry will be highly regarded.
