As our workload continues to grow, we are seeking a motivated and organised Project Administrator to support our Project Managers and project teams. This is a hands-on role that will provide exposure to all aspects of project delivery and would suit someone looking to develop a long-term career in construction, project administration, contract administration or project management.

About the Role

Working closely with Project Managers and delivery teams, you will provide administrative and project support across multiple projects from commencement through to completion.

Key responsibilities include:

• Maintaining project documentation, records, correspondence and registers
• Managing document control systems and project filing requirements
• Coordinating project mobilisation, start-up and close-out activities
• Preparing purchase orders and assisting with procurement activities
• Tracking supplier commitments, deliveries and subcontractor documentation
• Supporting the preparation of progress claims, variations and project reporting
• Assisting with contract administration activities and maintaining contractual records
• Monitoring project costs, commitments and expenditure against approved budgets
• Preparing meeting agendas, minutes and action registers
• Coordinating travel, accommodation, PPE and logistics requirements for project personnel
• Supporting tender submissions, quotations and project planning activities
• Maintaining quality, safety and compliance documentationLiaising with subcontractors, suppliers, consultants and clients
• Assisting with project reporting and management information requirementsIdentifying opportunities to improve project administration systems and processes

About You

You may currently be working in project administration, construction administration, estimating support, project coordination, engineering administration, contract administration support or a similar role within the construction, infrastructure or engineering sectors.

To be successful, you will have:

• Experience working in a project-based environment
• Strong organisational skills and attention to detail
• Excellent written and verbal communication skills
• The ability to manage competing priorities and meet deadlines
• Good Microsoft Office skills, particularly Excel and Word 
• Confidence communicating with a broad range of stakeholders
• A proactive approach and willingness to learn

The following would be advantageous, but are not essential:

• Experience in the construction, infrastructure, mining or engineering sectors
• Exposure to project management, estimating or contract administration
• Experience using AroFlo, Aconex, Procore or similar project management systems
