About the Role

We are looking for an experienced, warm and highly organised Receptionist / Clinic Coordinator to join our team.

This is a varied, client-focused role that goes beyond reception. You will play an important part in the client experience and day to day running of the clinic, including bookings, client communication, retail, rebooking, administration, reporting and clinic presentation.

We’re looking for someone who is professional, confident with clients, takes initiative and has a genuine interest in skincare, skin and aesthetic treatments and retail products.

Key Responsibilities

• Welcoming clients and providing a warm, professional experience

• Answering calls, responding to enquiries and discussing treatments with clients

• Managing bookings, appointments, cancellations, rebooking, checkouts, payments and invoicing

• Building strong client relationships and assisting with follow-ups

• Recommending skincare products and treatments and assisting with retail sales

• Maintaining retail displays and assisting with stock management

• Completing daily, weekly and monthly reports and general administration

• Assisting with social media when required

• Keeping reception, retail and clinic areas neat, tidy and professionally presented

• Supporting the team with the smooth day to day running of the clinic

About You

We’re looking for someone:

·        At least 3 years’ experience in reception, front-of-house, retail, customer service or administration; experience in a skin, cosmetic or medical clinic is highly regarded

·        Genuine interest in skincare, skin and aesthetic treatments, and retail products

·        Experience with Zenoti or similar booking and client management software is an advantage

·        Excellent customer service and communication skills

·        Warm, friendly, confident, reliable and professionally presented

·        Excellent attention to detail and strong organisational skills

·        Confident discussing skincare products and treatments with clients

·        Good understanding of social media platforms and able to assist when required

·        Able to manage multiple tasks efficiently and remain calm under pressure

·        Proactive, takes initiative and can recognise what needs to be done without always being asked

·        Works well independently and as part of a team

·        Most importantly, open-minded, willing to learn and keen to develop within the skin industry
