Medical Receptionist | Full-Time | Glenmore Park

Are you a warm, organised and confident Medical Receptionist who loves connecting with people and thrives in a busy environment?

MindFlare Psychology is a growing, family-owned psychology practice supporting children, families and individuals. We’re looking for a friendly, reliable and organised Medical Receptionist to join our team.

This is more than just a reception role. As the first point of contact for our clients, you’ll play an important part in creating a warm, welcoming and professional experience from the moment someone contacts MindFlare.

You’ll be part of a supportive team where your contribution matters, the days are varied, and no two days are quite the same.

About the Role

Your day-to-day responsibilities will include:

• Welcoming clients and families with warmth and professionalism

• Managing incoming and outgoing phone calls

• Responding to emails and client enquiries

• Scheduling appointments and managing clinician diaries

• Following up tentative bookings and supporting clients through the booking process

• Maintaining accurate client records in our practice management system (Halaxy)

• Assisting with invoicing and following up outstanding accounts when required

• Opening and closing the practice

• General administration, data entry, scanning and document management

About You

We’re looking for someone who is:

• Friendly, warm and professional

• Confident and comfortable speaking with clients on the phone

• Highly organised with excellent attention to detail

• Able to multitask and prioritise in a busy environment

• Reliable, proactive and able to use initiative

• A strong communicator who genuinely enjoys helping people

• Comfortable working independently while also being a supportive team member

Experience & Skills

• Previous reception and/or administration experience (essential)

• Previous medical reception experience (highly desirable)

• Experience working within a healthcare or allied health setting (desirable)

• Knowledge of Medicare and/or NDIS (highly desirable)

• Experience using Halaxy or similar practice management software (highly desirable)

Employment Details

Employment Type: Full-Time, 38 hours per week
Days: Monday–Friday, with occasional Saturday shifts may be offered with advance notice
Location: Glenmore Park
Salary: Competitive salary based on experience
