About the role
Student Exchange Australia New Zealand (SEANZ), Southern Cross Cultural Exchange (SCCE) are non-profit organisations that are part of the Educatius Group, the world's largest organisation dedicated exclusively to high school exchange programs.
Every year we help hundreds of young people experience life-changing international exchange. We support Australian students heading overseas while welcoming international students into carefully selected Australian schools, host families and local communities.
We're looking for an organised, proactive and people-focused Inbound Program Coordinator to help deliver exceptional exchange experiences from arrival through to program completion.
This is a rewarding role where no two days are the same. You'll work with schools, volunteer host families, local coordinators and international partners to ensure every student receives outstanding support throughout their exchange journey.
About the role
As an Inbound Program Coordinator, you'll be responsible for placing international high school students into Australian schools and volunteer host families, while supporting them throughout their stay.
This role combines relationship management, operations, compliance, problem-solving and student welfare. You'll coordinate multiple stakeholders, resolve issues as they arise and ensure every program meets our high standards of quality and child safety.
This role can be demanding during peak placement periods and occasionally involves managing sensitive or urgent situations. We're looking for someone who enjoys a busy environment, remains calm under pressure, thrives on meeting deadlines and takes pride in finding practical solutions.

This role is based in Mona Vale (Northern Beaches)
Secure placements for international students within Australian secondary schools and volunteer host families.
Build and maintain relationships with schools, host families and local coordinators across Australia.
Support students throughout their exchange experience and help resolve any issues that arise.
Liaise with international partners regarding placements, arrivals and student welfare.
Coordinate program administration from application through to program completion.
Ensure all placements are completed within required timeframes.
Monitor student progress and wellbeing throughout the program.
Conduct compliance reviews to ensure regulatory and child safety requirements are met.
Maintain accurate records and regulatory reporting.
Assist with planning and delivering student arrival orientations and welcome camps.
Participate in the after-hours emergency phone roster.
Contribute to continuous improvement of our programs and processes.
This is a fast-paced role where priorities can change quickly. You'll be supporting students, schools and host families across Australia, often balancing multiple deadlines and responding to situations that require sound judgement and calm decision-making.
To succeed in this role, you'll be:
Highly organised, with exceptional time management skills and the ability to manage multiple priorities simultaneously.
Comfortable working under pressure while consistently meeting deadlines.
Calm, resilient and solutions-focused when managing sensitive, challenging or emotionally charged situations.
An excellent communicator who can build positive relationships with students, schools, host families and international partners.
Confident making decisions, taking initiative and following issues through to resolution.
Detail-oriented, ensuring records, compliance requirements and communications are accurate and up to date.
Comfortable working independently while contributing positively to a collaborative team.
Passionate about supporting young people and delivering exceptional international exchange experiences.
Experience in education, international education, youth programs or not-for-profit organisations.
Experience in case management, student welfare or customer service.
Experience working with volunteers or community networks.
Knowledge of child safety, compliance or quality management frameworks.
