Administration Officer

About the role

We're looking for an Administration Officer to join our Gordonvale head office on a full-time, Monday to Friday basis. Reporting to the Managing Director, you'll be the engine room of the business: keeping crews moving, records accurate, and the office running smoothly. It's a varied role that touches payroll support, travel coordination, procurement, and onboarding, so it suits someone organised and comfortable juggling a few things at once.

Key responsibilities

• Provide day-to-day administrative and clerical support to head office and site-based teams
• Coordinate travel logistics — flights, accommodation, and ground transport for crew mobilisation and demobilisation
• Collect and check timesheets, and enter data for payroll processing
• Raise and track purchase orders, follow up deliveries, and liaise with suppliers and subcontractors
• Support stock control of PPE, office supplies, and site consumables
• Support onboarding — documentation collection, induction materials, and staff file setup
• Maintain employee records, training logs, registers, and site access tracking
• Manage incoming calls and emails professionally and promptly
• Prepare reports, correspondence, and meeting minutes as required
• Assist with WHS recordkeeping, document control, and audit preparation

About you

• Previous administration experience, ideally in mining, quarrying, or construction (desirable)
• Certificate III or IV in Business Administration (desirable)
• Proficiency in Microsoft Office — Word, Excel, and Outlook
• High attention to detail and strong organisational skills
• Strong verbal and written communication skills
• Ability to handle confidential information with discretion
• Reliable, self-motivated, and proactive — comfortable working independently and as part of a small team
• Current Australian driver's licence
