About the Role
The Commercial Administrator’s primary role is to support the wider business through a combination of purchasing, inventory, reporting, supplier management, and commercial administration activities.
In this position, you will play a critical role in the success of our business by supporting purchasing functions, maintaining accurate business records, coordinating with suppliers, preparing reports, and assisting various departments to ensure efficient business operations.
As the Commercial Administrator, you will carry out all tasks allocated by management which may include, but not be limited to:
• Monitor and manage stock levels and verify purchase requisitions.
• Track orders and ensure timely delivery.
• Organise returns or work out alternative solutions with suppliers.
• Enter order details into internal databases and ERP systems.
• Maintain updated records of purchased products, delivery information, pricing, and invoices.
• Assist with supplier communications and relationship management.
• Prepare and submit reports for management.
• Support sales, parts, service, and operations teams with administrative requirements.
• Assist with customer quotations, tenders, and commercial documentation as required.
• Implement Min/Max stock levels based on sales data.
• Run reports on stock turn, ageing stock, and assist with parts obsolescence programs.
• Part number generation and controls, including establishment of critical parts lists.
• Maintain accurate records and ensure data integrity across business systems.
• Identify opportunities for process improvement and operational efficiencies.
• Any other duties that may reasonably be required from time to time.
What You’ll Need to Succeed
• Previous experience in administration, purchasing, inventory control, commercial support, customer service, or a similar role is advantageous.
• Interest in technical products and industrial equipment.
• Understanding of supply chain and business administration procedures.
• Strong communication, negotiation, and interpersonal skills.
• Solid analytical and problem-solving abilities.
• Microsoft Office skills, particularly advanced Excel.
• Excellent organisational and planning skills.
• High attention to detail and accuracy.
• Self-motivation and ability to work autonomously.
• Ability to work to strict deadlines.
• Willingness to learn and adapt in a fast-paced environment.
