West Coast Motorcycles is looking for an organised, reliable and detail-focused Warranty & Accident Repairs Administrator to join our team.

This is a varied administrative role supporting our Workshop, Parts Department and customers, with responsibility for managing warranty claims and assisting with accident repair administration from initial booking through to completion.

The position is available on a full-time basis; however, part-time hours will be considered for the right candidate. We are happy to discuss suitable working arrangements with applicants who have the right skills and experience.

About the Role

You will be responsible for ensuring warranty and accident repair jobs are processed accurately and efficiently, while keeping customers, manufacturers, insurers and our internal team updated throughout the process.

Warranty Administration

Your responsibilities will include:

• Preparing, processing and submitting warranty claims to manufacturers and suppliers.

• Ensuring all warranty documentation is accurate and meets manufacturer requirements.

• Monitoring pending and outstanding warranty claims.

• Following up rejected claims and resubmitting documentation where required.

• Liaising with manufacturers, suppliers, technicians and our Parts Department.

• Maintaining accurate records of warranty repairs, parts, claims and credits.

• Monitoring outstanding warranty payments and credits.

• Assisting with warranty audits and reporting when required.

Accident Repairs Administration

You will also assist with the administration of accident repair jobs, including:

• Booking vehicles in and assisting customers throughout the repair process.

• Providing customers with progress updates.

• Liaising with insurance companies regarding estimates, approvals and repair authorisations.

• Submitting repair estimates, photographs and supporting documentation.

• Coordinating with technicians and the Parts Department to keep repair jobs progressing.

• Assisting with workshop scheduling and monitoring job progress.

• Preparing invoices and processing payments.

• Following up outstanding insurance payments and accounts.

• Maintaining accurate customer, vehicle and repair records.

• Ensuring documentation is completed and filed correctly.

About You

We are looking for someone who:

• Has excellent attention to detail and a high level of accuracy.

• Is highly organised and able to manage multiple jobs and deadlines.

• Has confident and professional written and verbal communication skills.

• Is comfortable communicating with customers, insurers, manufacturers and suppliers.

• Has good computer and data-entry skills.

• Is confident learning manufacturer portals and dealership management systems.

• Has a proactive approach to following up claims, approvals and outstanding payments.

• Can work independently while also being part of a busy team.

• Has a friendly, professional and customer-focused approach.

Previous experience in automotive or motorcycle warranty administration, insurance claims, accident repairs, service advising or dealership administration would be highly regarded.
