Service Coordinator

An established and growing HVAC business is seeking a service coordinator to join its team Rydalmere. 

You will coordinate the daily workload of field technicians across multiple areas of the business. This is a hands-on position requiring someone who can confidently manage changing priorities, communicate clearly and take ownership of the service schedule.

The business is looking for someone proactive and organised who can help improve processes as the service department continues to grow. You will have the opportunity to make the role your own and progress your career within the service division.

Key Responsibilities

• Coordinate and schedule daily jobs for HVAC technicians
• Allocate reactive service calls, planned maintenance and follow-up works
• Liaise with technicians, customers and internal stakeholders throughout the day
• Manage technician availability, job priorities and changes to the schedule
• Provide customers with updates regarding attendance times and job progress
• Create, update and close service jobs using Arrowflo 
• Ensure technicians have the correct job information, site details and documentation
• Monitor incomplete jobs and arrange return visits or additional works
• Assist with service reports, purchase orders, invoicing information and general administration

About You

• Previous experience in service coordination, scheduling or dispatch would be highly regarded but somebody with admin/coordination experience could also be suitable in this role. 
• HVAC, plumbing, electrical or another trade-services background is highly regarded but we are open to people from all industries. 
• Strong communication skills and confidence dealing with technicians and customers
• Proactive and decisive, with the ability to take ownership of problems
• Comfortable working in a busy environment where priorities can change quickly
• Strong organisation and time-management skills
• Experience using Arrowflow would be great or a similar job management system 
• Able to build positive working relationships with field technicians
• Interested in developing your career as the service department expands

The Opportunity This is a full-time, office-based position working Monday to Friday from the Rydalmere office. Ideal hours are approximately 7:30pm- 4pm  with some flexibility available across the business’s operating hours.

You will receive:

• Salary between $80,000 and $100k + super, depending on experience
