DUTIES

Lead the administration of assigned co-curricular activities which include:

• Managing all correspondence and communications, including email groups, liaising with external providers and portal notifications, to relay all relevant information, including last minute changes/updates and results, in a timely and efficient manner
• Liaise with Head Coaches, including overseeing training schedules, coach allocation and needs, umpire needs, pre-season training, distribution of uniform and kit, presentation events
• Advertise and approve all registration processes, including communicating with parents and accounts team, and updating Consent2go, Synergetic and portal groups
• Liaise with Finance and Head of Co-curricular to administrate co-curricular budgets and invoice payments
• Co-ordinate the provision of team and in-season photos and summaries to the Communications team for use in social media, yearbook and portal
• Coordinate volunteers and staff to assist with season preparations
• Administration support of the co-curricular and sport office, including establishing and maintaining effective systems and daily procedures
• Liaise with the HR and Operations to ensure volunteers and other relevant persons have current WWVP, First Aid and other relevant details recorded with the school
• Assist in the administration of interschool events and School Carnivals as directed by the Sports Co-ordinator
• Work collegially and positively with staff across both campuses and in different departments
• Other duties as directed by the Head of Co-curricular

SELECTION CRITERIA

Essential

• Excellent oral and written communication skills
• Friendly and caring attitude towards students, parents and staff
• Excellent administrative, organisational and time management skills
• Ability to deal maturely and sensitively with difficult situations involving staff, students and/or parents
• Ability to work to deadlines and to prioritise
• Ability to maintain confidentiality
• Proficiency in the use of MS Office range of programs and office equipment
• Willingness to work outside of normal hours from time to time as required
• First aid/CPR certificate and diabetes education qualification
• Current drivers licence

Desirable

• Proficiency in the use of Synergetic and Consent2Go

Terms and Conditions

The successful applicant will be employed under the Independent School ACT (Professional and Operational Staff) Cooperative Multi-Enterprise Agreement 2025.
