Production Clerk

The Opportunity

Ventia, in partnership with the Australian Defence Force, is seeking a permanent full-time Production Clerk to join our team at our state-of-the-art facility in Moorebank, NSW. This role offers a consistent work-life balance with hours of 7:00am – 3:45pm, Monday to Thursday, and 7:00am – 12:00pm on Fridays.

As the Production Clerk, you will provide essential administrative support to the JLU Manager, helping to ensure the efficient delivery of scheduled maintenance activities for high-security Defence equipment and armoury assets. You will play a key role in coordinating the end-to-end maintenance process, from receiving equipment through to its return to the client.

Working closely with trades, Defence personnel, suppliers, and logistics partners, you will coordinate maintenance schedules, raise and manage work orders, track equipment throughout the maintenance cycle, and ensure all documentation is completed accurately and on time. Your attention to detail and ability to manage multiple stakeholders will help maintain operational efficiency and support the delivery of high-quality outcomes.

Key Accountabilities

• Support the planning, scheduling, and coordination of maintenance activities to optimise workflow and resource utilisation by coordinating work orders, documentation, and materials to ensure the timely completion of maintenance tasks.
• Procure, track, and expedite repair parts to meet maintenance schedules and operational requirements.
• Utilise Commonwealth systems to manage cargo visibility, monitor repair part status, and maintain accurate supply chain information.
• Assist with the administration and management of Supply Customer Accounts.
• Perform general administrative duties, including records management, document control, correspondence, and data processing.

About You

The successful candidate must be eligible to obtain and maintain an Australian Defence Security Clearance to the level of Negative Vetting Level 1 (NV1). As this is a mandatory requirement, applicants must be Australian Citizens.

Essential Experience & Capabilities

• Demonstrated experience in a similar administrative role within a workshop, maintenance, or industrial environment.
• Strong communication and interpersonal skills, with the ability to effectively engage and coordinate with multiple stakeholders.
• Intermediate proficiency in Microsoft Office Suite, particularly Word and Excel.
• Experience using SAP S/4HANA is highly desirable; experience with other maintenance or logistics management systems will also be considered.
• High level of accuracy and attention to detail.
• Proven ability to work effectively in a fast-paced, high-volume environment.
• Demonstrated experience in accurately ordering, receipting, and distributing spare parts, interpreting work orders, and preparing work tickets, product specifications, and production documentation while maintaining accurate records in accordance with established procedures.
• Stocktaking and inventory control experience.
• Hold a valid driver's licence.
