About the role
ITSM Digital is an established online marketing and data management company based in Darlinghurst. With more than 400 employees, we offer the resources and stability of a large organisation while maintaining a friendly, casual and collaborative culture.
We provide digital, data management and administrative support to international clients across online marketing, gaming, ecommerce payments and intellectual property. This involves working with organisations, financial institutions, payment providers and professional advisers across multiple jurisdictions.
The opportunityWe’re seeking an organised, discreet and highly trustworthy Corporate Services & KYB Specialist to manage client documentation and due diligence.
Reporting to the Ecommerce Manager and working closely with the CFO, you’ll support a portfolio of international entities with complex ownership structures. A key part of the role is preparing applications and responding to information requests from banks, payment processors and other service providers.
You’ll handle confidential information relating to directors, shareholders, trustees and ultimate beneficial owners, so discretion, accuracy and sound judgement are essential.

What you’ll doPrepare applications for bank accounts, merchant-processing accounts and other commercial services
Coordinate KYB, KYC and corporate due-diligence packages
Manage annual, periodic and event-driven reviews
Collect and maintain corporate, ownership and identity documents
Interpret multi-jurisdictional ownership structures
Prepare structure charts and clear written explanations for third parties
Respond to document requests from banks, payment providers and commercial partners
Liaise with internal stakeholders, client representatives, corporate service providers, accountants and lawyers
Coordinate certification, notarisation, legalisation and apostille requirements
Monitor document expiry dates and obtain updated records
Assist with routine intercompany agreements using approved templates and instructions
Coordinate documents for review, approval and execution
Identify gaps or inconsistencies before submission and escalate issues appropriately
Manage multiple applications and reviews through to completion
Provide general corporate-services support to the Ecommerce Manager and CFO
This is a hands-on individual-contributor role with no people-management responsibilities. It does not include authority to make material commercial decisions, approve transactions or enter contractual arrangements on behalf of clients.

Demonstrated integrity and discretion
The ability to understand complex corporate structures—or learn quickly
Confidence working with senior stakeholders and external providers
Sound judgement and the ability to escalate material issues
A practical, resourceful and solutions-focused approach
The ability to work effectively in a fast-paced environment
Availability to work full-time from our Darlinghurst office during training and probation
Experience in one or more of these areas would be well suited to the role:
Corporate or trust services
KYB, KYC or institutional onboarding
Banking, merchant-acquiring or payment-provider onboarding
Corporate administration or entity management
Corporate paralegal or legal operations
Compliance administration or due diligence
Accounting, tax or company-secretarial support
We’re also open to highly capable applicants with transferable experience and the aptitude to learn quickly.
A qualification in law, business, accounting, finance, governance or a related field would be useful but is not essential. Practical experience, reliability and demonstrated judgement will be given significant weight.
Nice to haveExperience with international or multi-layered corporate structures
Familiarity with trusts, trustees or corporate directors
Experience preparing ownership or corporate-structure charts
Experience with banks, merchant acquirers or payment service providers
Exposure to enhanced due diligence or higher-risk jurisdictions
Experience arranging certified, notarised, apostilled or legalised documents
Experience using templates to prepare routine corporate agreements
Experience in online marketing, ecommerce, payments or online gaming
Governance, compliance, AML or KYC qualifications
You’ll initially work full-time from our Darlinghurst office while learning the role, systems and client structures. After probation, the standard arrangement is four office days and one work-from-home day each week, with reasonable flexibility when circumstances require it.
