We are looking for a Fleet Administrator on a 6-month fixed-term contract, based at our Lilydale site. This role will see you delivering support to the AusNet business relating to the day-to-day management of its vehicle fleet and associated assets, including managing and enforcing policies and procedures to ensure that business operations are effectively supported with safe and reliable fleet needs.

What you’ll be doing in this role:

• Maintain accurate and up-to-date fleet information, records, registers, and documentation across fleet management systems.
• Coordinate vehicle servicing and preventative maintenance to ensure compliance with manufacturer guidelines and organisational requirements.
• Manage vehicle repair processes, insurance claims, and damage rectification to minimise vehicle downtime.
• Process fleet-related invoices, raise purchase orders, and complete receipting activities in a timely and accurate manner.
• Manage the fleet inbox and respond promptly to stakeholder enquiries, requests, and operational issues.
• Prepare and process monthly fleet invoicing and support cost allocation activities.

You don’t need to check every box, however we’re looking for a good combination of:

• Previous experience in fleet administration, fleet coordination, transport administration, or a similar operational support role.
• Strong organisational and time management skills, with the ability to manage multiple tasks and competing priorities.
• High level of attention to detail and accuracy when maintaining records, processing invoices, and managing fleet data.
• Experience coordinating vehicle servicing, maintenance schedules, repairs, and claims management.
• Knowledge of invoice processing, purchase orders, goods receipting, and reconciliation processes.
• Intermediate to advanced proficiency in Microsoft Office applications, particularly Excel, Outlook, and Word.
• Experience maintaining databases, registers, spreadsheets, and fleet management systems.
