About the Role:

We are looking for a Business Support Coordinator to join State Control and Logistics team. This is a full-time permanent position based at our Belmont State Office.

Reporting to the General Manager – State Control and Logistics, the successful applicant will provide department coordination and administration support across the department. You’ll be part of a highly skilled, committed and collaborative team that together provide crucial and highly valued services to the rest of the organisation.

What You’ll Do:

• Work collaboratively with the General Manager to ensure department activities and coordination is achieved.
• Collating reports and data, reporting any discrepancies to the General Manager.
• Organise and facilitate leadership meetings for the department, and ensuring team is accountable by tracking actions and deadlines.
• Organise individual meetings between General Manager and Senior Management to discuss department and strategic activities on a fortnightly basis.
• Provide business and administration support to all aspects of the department. This may include but not limited to;
  • Finding and booking meeting rooms.
  • Preparing meeting agendas and take minutes to distribute to the team of action items.
  • Collaborate with internal teams to organise flights, transport and accommodation for department.
  • Organizing key team events & external events.
  • Calander and inbox management for the General Manager.

What you’ll need:

• Background in corporate, health, community or commercial based sectors (preferred)
• Diploma of Business Administration and/or extensive administrative experience (preferred)
• Good problem solving and organisational skills with strong accuracy and attention to detail
• Excellent communication skills both written and verbal.
• Experience with diary management and the coordination of meetings, bookings, and preparing correspondence.
• High levels of professionalism, integrity and discretion.
• Proactive and able to anticipate what's needed.
• Confident dealing with senior leaders and external stakeholders.
• Comfortable making decisions and working autonomously.
• Advanced skills in Microsoft Office suites (particularly Word, Excel Outlook and PowerPoint)
• Ability to adapt to an ever-changing environment an able to learn new programs and processes.
