Job Description

We are seeking a highly organised, proactive and professional Executive Assistant to provide exceptional support to the Executive General Manager Trade and Chief Operating & Strategy Officer.

Reporting to the Executive Assistant to the CEO & Managing Director, this role is integral to ensuring the smooth operation of two senior executive portfolios. You will act as a trusted business partner, managing competing priorities, coordinating key business activities and enabling senior leaders to focus on strategic outcomes.

This role offers significant exposure across Bapcor's Trade and Networks businesses and is ideal for an experienced Executive Assistant who thrives in a fast-paced, complex environment.

Key Responsibilities

• Provide high-level executive support to the EGM Trade and Chief Operating & Strategy Officer, including complex diary management, travel arrangements and executive correspondence.
• Act as a key liaison between executives, leadership teams, internal stakeholders and external partners.
• Monitor executive inboxes, coordinate priorities and manage confidential and commercially sensitive information with discretion.
• Prepare executive reports, presentations, communications, agendas, minutes and business documentation to a professional standard.
• Coordinate leadership meetings, town halls, offsites, conferences and business events from planning through to delivery.
• Support onboarding, offboarding and administrative processes across the Trade and Networks businesses.
• Manage governance and operational administration activities, including tracking compliance, training completion and organisational records.
• Champion team engagement initiatives, recognition programs and culture-building activities across Trade and Networks.

Qualifications

You are an experienced Executive Assistant who is confident supporting senior executives and navigating a dynamic corporate environment.

You will bring:

• Demonstrated experience supporting senior executives within a complex and fast-paced business environment.
• Excellent diary, meeting and stakeholder management capabilities.
• Strong experience preparing executive correspondence, reports, presentations and communications.
• Exceptional organisational skills with the ability to manage multiple priorities simultaneously.
• Advanced Microsoft Office skills, including Outlook, Word, PowerPoint, Excel and Teams.
• Strong attention to detail and commitment to delivering high-quality outcomes.
• Ability to exercise sound judgement, discretion and confidentiality at all times.
• A proactive and solutions-focused approach with excellent relationship-building skills.

Highly Regarded

• Experience supporting multiple executives or leadership teams.
• Experience coordinating town halls, conferences, leadership forums and company events.
• Experience within retail, trade, automotive or multi-site organisations.
• Experience with travel management and expense management systems.
