VIC - Melbourne - 655 Collins StService Stream is seeking a proactive and highly organised Facilities Administrator to support the day-to-day management of our national property portfolio and facilities operations.

Reporting to the Facilities Manager, this role is responsible for coordinating the administration, maintenance, and operational performance of Service Stream's properties and associated assets. You will play a key role in ensuring our facilities remain safe, compliant, well-maintained, and fit for purpose to support business operations across Australia.

This is an excellent opportunity for someone with facilities or property administration experience who enjoys working in a fast-paced environment and collaborating with a broad range of internal and external stakeholders.

Work type: up to 12-month maternity leave cover

• Support the day-to-day operation and performance of Service Stream's national property portfolio.
• Coordinate maintenance activities to ensure facilities remain operational, clean, safe, and well-presented.
• Manage maintenance requests and service enquiries through the Facilities Management System and shared inbox.
• Liaise with landlords, contractors, service providers, and internal stakeholders to resolve property-related issues.
• Monitor contractor compliance, including insurances, warranties, service agreements, and contract expiry dates.
• Maintain accurate property and asset records, including operational manuals and documentation.
• Assist with planned maintenance schedules and facilities-related budgets and expenditure tracking.
• Coordinate facilities works and support projects across multiple locations.
• Prepare reports and provide administrative support to the Facilities team.
• Assist in responding to urgent and after-hours facilities issues when required.
• Ensure all facilities activities are conducted with a strong focus on safety, compliance, and service delivery.

• Previous experience in facilities administration, property administration, or a similar support role.
