Practice Manager

About the role

Richmond Medical is seeking an experienced Practice Manager to join our team on a full-time basis in Richmond VIC 3121. This is a strategic leadership position that plays a vital role in the smooth operation and success of our medical practice. As Practice Manager, you will oversee all administrative and operational aspects of the practice, ensuring we deliver exceptional patient care whilst maintaining efficient business operations. This position is fundamental to achieving our organisational objectives and supporting our clinical team to focus on patient outcomes.

Key responsibilities

Manage all administrative and operational functions of the practice, including rostering, patient records management and facility maintenance

• Oversee financial management including invoicing, accounts payable and receivable, and financial reporting

• Recruit, train, supervise and manage administrative and support staff, fostering a positive and productive workplace culture

• Ensure compliance with healthcare regulations, privacy legislation and workplace health and safety standards

• Implement and maintain practice policies and procedures to optimise efficiency and quality of service

• Liaise with clinical staff to understand practice needs and implement systems that support patient care delivery

• Manage patient billing and insurance claims processing

• Develop and monitor key performance indicators to measure practice performance and identify areas for improvement

• Lead quality improvement initiatives and maintain accreditation standards

• Handle patient inquiries and complaints with professionalism and sensitivity

What we're looking for

Proven experience as a Practice Manager or in a similar healthcare management role, preferably in a general medical practice setting

• Strong knowledge of healthcare administration, medical practice operations and relevant legislation including privacy and health records management

• Demonstrated experience in budgeting, payroll and accounts management

• Excellent leadership and people management skills with the ability to motivate and develop a diverse team

• Strong organisational and time management abilities with capacity to manage multiple priorities effectively

• Proficiency in practice management software (Best Practice, HotDoc & Cubiko desirable but not essential) and electronic health record systems

• Excellent communication skills, both written and verbal, with ability to liaise effectively with clinical and administrative staff, patients and external stakeholders

• Problem-solving capability and ability to implement practical solutions to operational challenges

• Professional qualifications in healthcare management, business administration or equivalent experience would be advantageous

• Current knowledge of medical practice accreditation standards and quality improvement practices
