Enrolment and Attendance Officer

Hours: 38 hours per week.

Ordinary working pattern: Monday, 7.30 am-4.00 pm; Tuesday-Friday, 8.00 am-4.00 pm.

Classification: School Officer Level 5 under the Montessori School Ltd Enterprise Agreement 2024.

Location: Fig Tree Pocket, Brisbane.

Brisbane Montessori School is seeking an experienced and highly organised Enrolment and Attendance Officer to coordinate the School’s enrolment, attendance, census reporting and student-data administration functions.

This is a key Level 5 operational and compliance-focused role. You will oversee the integrity of student information, coordinate government census data preparation and upload, prepare monthly enrolment and attendance reports, investigate discrepancies and implement reliable procedures and controls. Your work will provide school leaders with accurate information for compliance, budgeting, workforce planning and operational decision-making.

You will also be an important point of contact for prospective and current families, ensuring communication is professional, responsive, respectful and consistent with the values of Brisbane Montessori School.

• Coordinate the end-to-end enrolment process from enquiry and application through to interview, offer, commencement, transition and withdrawal.
• Communicate clearly and sensitively with prospective and current families and maintain accurate enrolment, waiting-list and supporting records.
• Work closely with Heads of School on placements, commencement dates, class composition, transitions and emerging enrolment matters.
• Oversee daily attendance administration, investigate missing or inconsistent records and escalate concerning absence patterns.
• Coordinate the collection, validation, upload and audit trail for applicable government census submissions.
• Prepare monthly enrolment and attendance reports, analyse material movements and provide clear commentary to leadership.
• Reconcile student information across relevant systems and maintain strong data-quality, privacy and access controls.
• Develop, document, implement and regularly review enrolment, attendance, census and student-data procedures, work instructions, checklists and controls.
• Coordinate approved process improvements, guide staff in relevant procedures and monitor their effectiveness.
• Support school tours, information sessions, open days, reception and other peak-period administrative activities as required.

• At least three years’ relevant administrative experience, preferably in a school or independent education environment.
• Demonstrated experience managing enrolment, attendance, compliance reporting, student administration or comparable data-intensive processes.
• Strong analytical and problem-solving capability, excellent attention to detail and a clear commitment to data integrity.
• Proven ability to develop, implement, review and improve administrative processes and procedures.
• Highly developed written and interpersonal communication skills, with the ability to build rapport and manage sensitive matters professionally.
• The ability to work independently, exercise sound judgement within delegation, meet fixed deadlines and manage competing priorities.
• High-level proficiency in Microsoft Office 365, particularly Excel, and confidence using database or student-management systems.
• A clear understanding of privacy, confidentiality and appropriate information handling.
• A commitment to the mission, values and Montessori philosophy of Brisbane Montessori School.

• A relevant Certificate III qualification or higher, or equivalent demonstrated experience.
• A current Queensland Working with Children Blue Card or exemption card, as applicable, or eligibility to obtain one before commencement.
• Current First Aid and CPR certificates, or willingness to obtain them.
• Experience with government census reporting, enrolment forecasting, attendance compliance, audit evidence, Zunia, SchoolPro, Xero or EdSmart will be highly regarded.
