About the Role

We are seeking a detail-oriented and customer-focused Accounts Payable Officer to join our Finance team.

Reporting to the Finance Operations and Systems Manager, you will be responsible for the timely, accurate and compliant processing of accounts payable transactions and related financial administration activities. This role plays an important part in maintaining strong financial controls, supporting internal stakeholders and suppliers, and ensuring the integrity of our financial operations.

Key Responsibilities

Accounts Payable Processing

• Process supplier invoices accurately and efficiently, including coding, matching, verification and payment preparation.
• Ensure supplier payments are made within agreed timeframes.
• Maintain supplier records and account information.
• Respond to accounts payable enquiries from suppliers and internal stakeholders.

Financial Administration

• Administer and reconcile petty cash transactions.
• Complete checking and reconciliation of Promaster transactions.
• Assist with account reconciliations and routine finance administration activities.
• Maintain accurate financial records and supporting documentation.

Compliance and Controls

• Ensure compliance with organisational policies, delegation authorities and financial procedures.
• Support taxation and audit requirements through accurate record management.
• Identify and escalate discrepancies, errors or potential financial risks.
• Contribute to maintaining strong financial governance and internal controls.

Stakeholder Support

• Provide professional and responsive support to employees, managers and suppliers.
• Build positive working relationships through a service-oriented approach.
• Assist with finance-related enquiries and problem resolution.

Team Support and Continuous Improvement

• Provide backup support across the Finance team as required.
• Contribute to process improvements that enhance efficiency, accuracy and service delivery.
• Support a collaborative and high-performing team environment.

About You

You are a highly organised finance professional with strong attention to detail and a commitment to accuracy. You enjoy working in a collaborative environment, have excellent customer service skills and take pride in delivering quality outcomes.

Essential Skills and Experience

• Demonstrated experience in Accounts Payable, Finance Administration or a similar transactional finance role.
• Experience processing high volumes of invoices and payments accurately and within deadlines.
• Experience completing account reconciliations and maintaining financial records.
• Strong understanding of accounts payable processes, financial controls and compliance requirements.
• Experience using financial management systems and Microsoft Office applications, particularly Excel.
• Excellent organisational and time management skills.
• Strong attention to detail and commitment to data integrity.
• Ability to manage competing priorities while maintaining accuracy.
• Well-developed communication and stakeholder engagement skills.
• Ability to work collaboratively within a team and contribute to shared goals.

Qualifications

• Certificate IV, Diploma or tertiary qualification in Accounting, Finance, Business Administration or a related discipline.

Desirable

• Experience working within a not-for-profit, community services or similarly complex environment.
• Experience with Promaster or similar financial management systems.
• Understanding of delegated authority frameworks and financial governance requirements.
