Administration & Design Coordinator

About the role

CommVisual is a Townsville-based media and signage business operating across two divisions — large-format print and signage, and outdoor billboard advertising. This is a hands-on Administration & Design Coordinator role working directly with the business owner across both divisions, keeping everything running smoothly while also producing design work. This is a pivotal role — the kind of person who thrives here will be someone who takes ownership, communicates proactively, and can jump between design briefs, client admin, and scheduling without missing a beat.

Key responsibilities

• Managing day-to-day administration, scheduling, and internal coordination across both business divisions

• Producing print-ready artwork and design files for large-format signage, vehicle wraps, and billboard campaigns

• Creating and scheduling social media content across platforms

• Handling client communications, quoting support, and job tracking

• Liaising with suppliers, contractors, and installers to keep jobs on track

• Maintaining file management systems, job folders, and artwork archives

• Xero invoicing and basic accounts administration

• Some involvement in the production environment when required

• Supporting the business owner with ad hoc projects and business development tasks

About you

• Proven experience in an administration, design, or coordinator role

• Proficiency in Adobe Creative Suite (Illustrator and/or Photoshop essential)

• Canva and social media content creation experience

• Strong written and verbal communication skills

• Exceptional attention to detail — accuracy in design files and client communication is non-negotiable

• A self-starter who can manage their own workload and flag issues early

• Experience with Xero or similar accounting software desirable

• Some experience in a print production or signage environment a bonus but not essential
