About the role
As a Senior Property Manager, you will be responsible for managing a portfolio of properties. This role requires a highly experienced property professional who can efficiently oversee all aspects of property management, maintain exceptional client relationships, resolve complex issues, and ensure all processes and procedures are followed to the highest standards. You will also work with remote professionals to ensure efficiencies within the workflow.
KPIs will be set for this role in conjunction with the General Manager and aligned with key business strategies at the time. These KPIs will form a critical part of the measure of success in the Senior Property Manager role.
Key Responsibilities:
Property Management Operations:
· Facilitate the tenancy approval process in collaboration with the Leasing Officer.
· Assist with executing tenancy agreements and related documentation with the offshore team.
· Approve advertisements for available rental properties under existing management.
· Maintain regular communication with clients, building strong relationships in line with KPIs.
· Organise property management projects using our CRM system or any other designated system for various matters, including repairs, vacating tenancy, new tenancy, and other related projects.
· Ensure action and conversation notes, as well as email correspondence, are saved in project management systems.
· Conduct routine inspection reports for all routine inspections, except for the first three-month inspection for new tenancies.
· Prepare, lodge, and attend NCAT hearings as needed.
· Facilitate clients’ insurance claims.
· Conduct regular rent and lease reviews according to clients' requirements.
· Perform pre-vacating inspections of properties that are becoming vacant.
· Carry out detailed outgoing property condition reports, complete with photos.
· Prepare claims for rental bonds.
Client and Stakeholder Engagement:
· Build and maintain strong relationships with landlords and tenants, ensuring exceptional service levels.
· Provide expert advice to landlords regarding rental returns, lease terms, and market conditions.
· Address and resolve tenant and landlord concerns in a professional and timely manner.
· Ensure all communications are recorded and documented appropriately.
Compliance and Risk Management:
· Ensure all property management tasks comply with relevant legislation and regulatory requirements.
· Stay updated with industry changes, including tenancy laws and best practices.
· Oversee the accuracy of documentation related to leasing, renewals, and terminations.
· Ensure all maintenance and repair requests are handled in a timely and compliant manner.
Technology and Process Management:
· Utilise CRM systems and other property management software to streamline workflows and maintain accurate records.
· Adapt to new systems, processes, and technologies as they are introduced.
· Implement best practices and efficiencies to improve service delivery.
· Monitor and maintain quality control over property-related tasks and documentation.
