SCHADS Award – Level 3
Are you someone who notices when a document is out of date, a process doesn’t quite make sense, or an action hasn’t been closed out?
Are you the kind of person who loves keeping things organised, spots the detail others miss and is always looking for a better way to do things?
We’re looking for a capable and detail-focused Business Support Officer to join our team, with a strong focus on document control and organisational systems.
This is not your typical administration role. You’ll play an important part in helping us maintain the documents, registers, systems and processes that support quality and consistency across our organisation.
One day you might be reviewing policies and procedures to make sure document control requirements are met, the next day you might be preparing management reports or presentations, updating digital content or helping keep our systems and registers on track.
As our Business Support Officer, you'll provide administrative, executive and organisational support across a diverse community services organisation.
Your role will include:
Providing administrative support to our General Manager and leadership team, including reports, correspondence, presentations, meeting papers, agendas and minutes.
Maintaining document registers, version control, review dates, approvals and document formatting to help ensure organisational information remains current and consistent.
Maintaining corporate calendars and keeping on top of important review dates, reporting deadlines, meetings, audits and compliance activities.
Collating and analysing information and turning data into useful reports, spreadsheets, dashboards, graphs and visualisations.
Supporting incident, feedback, complaint and continuous improvement systems, including following up actions and helping ensure matters progress to completion.
Assisting with internal and external audit preparation and organisational reporting.
Supporting projects, research, surveys and improvement initiatives across the organisation.
Assisting with organisational communications, including newsletters, notices, website and intranet content, social media and other digital resources.
Coordinating meetings, workshops and organisational activities, including scheduling, documentation, logistics, minute taking and follow-up actions.
Providing first-level assistance with everyday office technology and systems and liaising with external support providers where required.
Providing support and coverage to our administration and reception functions when required.
You'll be someone who can see both the big picture and the tiny details.
You don't need to have done every aspect of this role before, but you'll need strong administrative and organisational experience, confidence working with information and systems, and the initiative to work things out.
We're looking for someone with:
Experience in administration, business support, document control, quality, compliance or a similar role.
Excellent attention to detail and a genuine commitment to accuracy.
Strong written communication skills and the ability to produce professional documents.
Advanced Microsoft Office skills, particularly Excel, Word, Outlook, and Sharepoint.
Confidence working with data, spreadsheets, reports, graphs or dashboards.
Strong organisation and time-management skills with the ability to juggle competing priorities.
Initiative, sound judgement and the ability to work independently.
The confidence to follow things up, ask questions and keep actions moving.
Strong interpersonal skills and the ability to work with people across all levels of an organisation.
An ability to learn new software, systems and processes quickly.
Experience in community services, aged care, quality, governance, information management or the not-for-profit sector would be highly regarded, but isn't essential.
At Harold Hawthorne Community Centre, you'll be joining an organisation that has been supporting older people and our local community for many years.
This position offers the opportunity to work across multiple areas of the organisation rather than being confined to one administrative function. You'll work closely with our leadership team, contribute to organisational projects and improvements, and have the opportunity to see the impact of your work across the Centre.

0.8–1.0 FTE – part-time or full-time arrangements available.
Monday to Friday.
SCHADS Award – Social and Community Services Employee Level 3.
