Administrator role is pivotal in ensuring the smooth running of the organisation’s day-to-day business. This position splits its focus between managing payroll, HR administration, coordinating organisational logistics, workplace health and safety (WHS), and facilities management. Collaborating closely with the HR Manager, IT, Accounts and Program Managers, this role aims to streamline internal administrative processes, enhance operational efficiency, and maintain a safe, welcoming, and compliant environment across all Weave sites.
Summary of role:
The HR & Operations Administrator plays a pivotal role in ensuring the smooth running of the organisation’s day-to-day business. This position splits its focus between managing payroll operations and HR administration, and coordinating organisational logistics, workplace health and safety (WHS) and facilities management. Collaborating closely with the HR Manager, IT, Accounts and Program Managers, this role aims to streamline internal administrative processes, enhance operational efficiency, and maintain a safe, welcoming, and compliant environment across all Weave sites.
Payroll, HR, and Recruitment Administration
● Efficiently manage end-to-end payroll processes, ensuring accuracy and compliance with legislative requirements, awards, and company policies.
● Regularly review, update, and document payroll processes to optimise efficiency.
● Provide HR administrative support, including coordinating recruitment activities (scheduling interviews, managing panels, candidate communication, conducting reference checks, and maintaining applicant records).
● Assist the HR Manager with a range of human resources initiatives, projects, and reporting.
Operations, Logistics, and Facilities Management
● Manage day-to-day logistical operations across all Weave sites (including keys, vehicles, stationery, mail, office supplies, printing, leases, and storage).
● Oversee facilities and vehicle management, building repairs, upgrades, utilities, cleaning, and maintenance in consultation with Program Managers.
● Lead procurement, vendor management, and contract negotiations for services and facilities to ensure cost-effectiveness.
● Conduct regular reviews and audits of sites, assets, resources, and operational workflows to implement continuous system improvements.
WHS, Compliance, and Risk Management
● Manage work health and safety (WHS) programs and operational compliance across all Weave sites, maintaining the WHS Risk Register and Incident Register.
● Complete specific risk assessments (e.g., workplace safety, health regulations) and follow up on building and vehicle incidents.
● Ensure designated First Aid Officers and Fire Wardens are appointed across sites and that their training and certifications remain current.
● Contribute to the broader organisational risk register and prepare Operations and WHS reports for the HR Manager.
● Ensure relevant commercial and operational insurance policies are current, competitive, and sufficient.
Workplace Support, Staff Onboarding, and Events
● Collaborate with the HR Manager and Systems Administrator to ensure seamless staff onboarding, induction, and offboarding regarding operational systems and physical workspaces.
● Ensure all staff have the necessary equipment, tools, and safe workspaces to perform their roles effectively.
● Manage logistics for organisation-wide events, including staff meetings, Board meetings, team-building days, community celebrations, and volunteer working bees.
● Provide coordination and management support for external contractors and temporary volunteers.
Selection Criteria:
1. Minimum 2 years of experience in payroll management, administration, and/or operational/facilities coordination.
2. Demonstrated experience in WHS, including supporting safe, compliant, and well-maintained operational environments.
3. Strong attention to detail, excellent analytical accuracy (especially regarding payroll and tracking resources), and a commitment to maintaining absolute confidentiality.
4. Proven ability to manage competing priorities, think proactively and respond to operational challenges in a fast-paced, resource-conscious, not for profit setting.
5. Highly organised with ability to manage multiple tasks and deadlines simultaneously.
6. Excellent interpersonal and communication skills, with proven ability to build strong relationships with internal teams, external contractors, vendors, and stakeholders.
7. Understanding of the importance of cultural safety for Aboriginal and Torres Strait Islander peoples, the strengths of Aboriginal and Torres Strait Islander peoples and the impacts of intergenerational trauma and colonisation.
8. A collaborative team player with strong negotiation and conflict resolution skills, common sense, adaptability, and an excellent sense of humour under pressure.
