Truffleduck is looking for an experienced, organised and genuinely passionate Wedding & Events Coordinator to join our team on a part-time basis, initially to cover a maternity leave position, with the possibility of the role becoming an ongoing position.

We are one of Geelong’s leading catering and events businesses, creating memorable weddings, celebrations and corporate events across some of the region’s most beautiful venues. We’re known for exceptional food, polished service and, most importantly, making sure our clients feel looked after from their first conversation with us through to the last guest leaving the dance floor.

About the role

This is a hands-on role for someone who loves bringing events to life and thrives on making the seemingly complicated feel effortless.

You’ll work closely with couples from their initial enquiry through to their wedding day, helping them shape their vision, coordinating suppliers and logistics, managing event details and ensuring every element comes together beautifully.

Your responsibilities will include:

·       Managing wedding and event enquiries and converting them into confirmed bookings

·       Meeting with couples and clients to understand their vision, needs and expectations

·       Planning and coordinating weddings from initial consultation through to event day

·       Preparing proposals, quotes, schedules, run sheets and event documentation

·       Liaising with venues, suppliers, couples and internal teams

·       Conducting venue visits and pre-event meetings

·       Ensuring smooth communication between clients and the Truffleduck team

·       Being present at selected events to oversee delivery and ensure everything runs to plan

·       Providing the calm, capable and personable point of contact our clients can rely on

About you

You’ll be an experienced events professional who understands that great weddings are about much more than a checklist.

You’ll bring:

·       Previous experience in wedding, event planning, hospitality or a similar client-facing role

·       Exceptional organisational and time-management skills

·       Outstanding attention to detail

·       Excellent written and verbal communication

·       Confidence dealing with clients, suppliers and venues

·       The ability to juggle multiple events and priorities without losing your cool

·       A natural ability to anticipate problems before they become problems

·       A warm, professional and confident manner

·       A genuine passion for hospitality and creating memorable experiences
