Practice Manager – Small Allied Health Clinic

About the role

The Practice Manager will be responsible for coordinating the administrative side of the clinic, with a strong focus on managing patient bookings and appointment schedules, monitoring cancellations and waiting lists, overseeing billing and invoicing, and supporting reception and allied health staff. You will review daily clinic schedules, manage patient enquiries, improve booking and billing processes, develop clinic procedures and systems, assist with staff coordination, and identify areas where the clinic can operate more efficiently.

Key responsibilities

• Managing patient bookings and appointment schedules
• Monitoring cancellations, rescheduling and waiting lists
• Overseeing billing, invoicing and outstanding accounts
• Following up unpaid invoices and payment issues
• Medicare, DVA, private health and third-party billing administration
• Supporting reception and allied health staff
• Reviewing daily clinic schedules to ensure appointments are organised efficiently
• Managing patient enquiries and administrative issues
• Improving booking, billing and reception processes
• Developing and maintaining simple clinic procedures and systems

About you

• Previous experience in medical, allied health or healthcare practice management
• Medical reception or senior administration experience
• Medicare and healthcare billing knowledge
• Accounts receivable and invoice follow-up experience
• Appointment and diary management experience
• Experience managing a small team
• Highly organised and confident dealing with patients and staff
• Comfortable taking responsibility for problems and resolving them
• Excellent at following tasks through to completion
• Able to work independently without constant supervision
