Contract Administrator

Location: Yennora, NSW

Salary: $80,001 - $100,000

Job Type: Permanent position | Full time position

• Administer construction contracts in accordance with contractual terms, project requirements and company procedures.
• Review and interpret construction contracts, subcontracts, purchase orders and related contractual documentation.
• Monitor contractual obligations, milestones, deliverables, notices and key dates to ensure compliance.
• Maintain accurate and up-to-date contract registers and project records.
• Prepare, issue and track contractual correspondence, notices and other formal documentation.
• Assist Project Managers and senior management with identifying contractual risks, obligations and potential areas of dispute.
• Maintain comprehensive records of variations, claims, extensions of time, notices and other contractual matters.

Subcontractor and Supplier Management

• Assist with the preparation, negotiation and administration of subcontractor and supplier agreements.
• Review subcontractor quotations, scopes of work and contractual documentation.
• Monitor subcontractor performance against agreed scope, programme, quality and contractual requirements.
• Coordinate the submission, assessment and approval of subcontractor claims and progress payments.
• Assist in resolving contractual and commercial issues with subcontractors and suppliers.
• Ensure subcontractor documentation, insurances, licences, compliance records and other required information are maintained.

Project Cost and Commercial Administration

• Assist with monitoring project budgets, commitments, expenditure and forecast costs.
• Review and process progress claims, invoices and payment documentation.
• Assess claims against contractual requirements, supporting documentation and completed works.
• Maintain variation registers and assist with the preparation, pricing and assessment of variations.
• Monitor approved and pending variations and their impact on project costs and profitability.
• Assist with the preparation of cost reports, financial forecasts and commercial reports for management.
• Identify discrepancies between project budgets, actual expenditure and contractual commitments and escalate issues where appropriate.

Variations, Claims and Extensions of Time

• Coordinate the preparation and submission of variation claims in accordance with contractual requirements.
• Review variations submitted by subcontractors and assess them against the relevant scope and contract.
• Maintain detailed variation and claims registers.
• Assist with the preparation and assessment of extension of time claims.
• Monitor project delays, changes in scope and other events that may give rise to contractual entitlements.
• Ensure contractual notices are prepared and submitted within prescribed timeframes.
• Maintain supporting documentation and evidence for variations, claims and delay events.

Project Documentation and Reporting

• Maintain organised and accurate project files, registers and contractual records.
• Prepare regular contractual and commercial reports for Project Managers and senior management.
• Assist in preparing project documentation for internal reviews, client meetings and commercial negotiations.
• Coordinate the distribution and filing of drawings, specifications, contracts, correspondence and other project documentation.
• Ensure documentation is appropriately recorded and accessible throughout the project lifecycle.
• Assist with project close-out, including final accounts, defects documentation, warranties, releases and other completion requirements.

Compliance and Risk Management

• Ensure contract administration activities comply with applicable legislation, contractual requirements, company policies and project procedures.
• Assist in identifying contractual, commercial and project risks.
• Maintain appropriate records to support the company's contractual position.
• Monitor compliance with insurance, licensing, safety and other contractual requirements relevant to subcontractors and suppliers.
• Escalate significant contractual, financial or operational risks to senior management.
