About the Role:

The Property, Fleet & Facilities Coordinator is responsible for coordinating Ngwala’s fleet, assets and property maintenance across multiple sites. The role ensures vehicles and assets are safe, compliant and well-maintained, while providing effective support to staff and external providers. The position requires strong organisational skills, attention to detail, communication and the ability to manage multiple priorities to support the smooth delivery of Ngwala’s services.

Key Responsibilities:

• Manage vehicle allocation, bookings, servicing, repairs, registrations and insurance.
• Monitor vehicle usage, fuel, tolls, costs, safety and roadworthiness.
• Maintain accurate vehicle records and ensure fleet compliance.
• Maintain accurate asset registers, including allocation, movement and lifecycle.
• Coordinate asset procurement, tagging, maintenance, audits, stock takes and disposal.
• Ensure assets are safe, maintained and fit for purpose.
• Coordinate maintenance requests across organisational sites.
• Liaise with external property and facilities providers and monitor work orders.
• Track property-related expenditure and escalate outstanding issues.
• Maintain fleet and asset compliance with organisational policies and regulatory requirements.
• Maintain registrations, insurance, service records, warranties and other relevant documentation.
• Maintain accurate data in LOGIQC and prepare regular fleet and asset reports.
• Identify risks and implement appropriate mitigation strategies.

Stakeholder Support:

• Provide support to staff regarding vehicle bookings, asset requests and maintenance matters.
• Communicate updates regarding maintenance, disruptions and changes.
• Work collaboratively with Finance, IT and program teams.

Mandatory Requirements:

• Current Victorian Driver’s License
• Satisfactory Police Check
• Current Working with Children Check Desirable
