About the role
Trusted Hearing (https://www.trustedhearingclinic.com) is an independent audiology practice in Victoria. We're small, we're close-knit, and we've built our reputation on treating people kindly - most of our clients have been with us for years, and they come back as much for the welcome as for the audiology.
We're looking for a Receptionist to run our front of house. You'd be the first voice on the phone and the first face at the door, and you'd work directly alongside our Principal Audiologist and General Manager.
Most of our clients are older adults. Many are nervous about their hearing, some are frustrated by it, and quite a few just want a chat while they wait. The right person finds that genuinely rewarding rather than tiring - you'll take the time, speak clearly, never rush anyone, and make sure people leave feeling looked after.
Day to day you'll:
Greet clients, manage check-ins and intakes, and keep the reception area running smoothly
Answer calls and enquiries, and confirm appointments to keep the diary tight
Monitor our email inbox
Schedule and manage appointments in our software system
Enter referrals and maintain accurate client records
Administer Hearing Services Program (HSP) vouchers - we'll show you how to do this
Process card payments and product sales (batteries, accessories) - no cash handling
Handle correspondence, filing, scanning and deliveries
Open and close reception
Monday: 9:15am – 5:30pm
Friday: 9:15am – 2:00pm
Reliable, consistent days. We're open to discussing additional hours down the track as the clinic grows.
You don't need audiology experience. We'll teach you what you need to know about the clinical side. What we can't teach is the temperament, so this is what matters:
Genuinely warm. You like talking to people. You remember names and details, and you're the sort who notices when someone seems off.
Excellent with older clients. Patient, clear, unhurried, and comfortable repeating yourself without a hint of impatience. If you've cared for or worked with elderly people, professionally or personally, you'll be right at home.
Seriously organised. You're the person who keeps a system, follows through, and closes the loop. Nothing falls through the cracks on your watch.
Sharp attention to detail. Referrals, records and HSP paperwork have to be right, every time.
Confident with computers. Comfortable in Microsoft Office, Gmail, and quick to pick up new software where needed. We try to keep our systems as simple as possible.
A strong communicator in person, on the phone and in writing.
Happy to work autonomously. Some of the time it'll just be you at the front desk, and we need to trust that it's handled.
Backgrounds that suit this role well: executive assistant, personal assistant, office manager, medical or dental reception, allied health admin, or any client-facing role where you were the person who held it all together. If you're returning to the workforce after a break, or looking for something part-time and steady after a bigger corporate role, we'd genuinely like to hear from you.
