The role
Applications are sought for the position of Site Administrator.
The responsibilities of this role will be:
- Manage site entry requests and accommodation requirements.
- Prepare and distribute site specific correspondence.
- Prepare various reports and minutes of meetings for distribution.
- Maintain site work rosters including processing travel amendments and leave forms.
- Maintain the site filing systems and registers both electronic and hard copy.
- Maintain local office facilities, services, and supplies.
- Raise purchase requisitions, obtain quotes, and receipt as required in accordance with company requirements.
- Provide general administrative support and project-based duties to Site Management and senior company personnel as required.
- Maintain and implement appropriate administrative policies and procedures.
- Maintain systems for transportation, accommodation, and vehicle hire bookings.
- Ensure that all personnel meet site entry requirements and are mobilised and demobilised in accordance with company policy.
- Coordinate and schedule travel to site, including flights, accommodation, buses and vehicles.
- Administration of inductions, forms, PPE, and supplies for new starters.
- Provide a point of contact for mobilisation / demobilisation enquiries for site personnel.
- Maintain effective working relationship with the village services provider.
- Liaise with contractors’ site administrators to facilitate site entry, travel, and accommodation bookings.
- Liaise with village services contractor to ensure that the management of the village, cleaning and catering is maintained at standard acceptable to the company.
- Maintain effective working relationship with local community and suppliers.
- Maintain effective working relationship with the charter company and company travel provider.
About you
To be considered for the role, you will have the following qualifications, skills and experience:
- 2+ years’ relevant experience working as a Site Administrator in mining or a related industry.
- Advanced computer skills, including Microsoft Office.
- Knowledge of flight and roster management software.
- Accounting software experience.
- Excellent attention to detail.
- Ability to maintain a high degree of confidentiality and discretion.
- Highly organised, with the proven ability to maintain multiple priorities simultaneously.
- Good interpersonal and communication skills – including written and verbal.
- An excellent approach to customer service.
- Current WA manual driver’s licence.
- Certificate: Provide First Aid, or equivalent (desirable).
- Certificate: Business Administration, or equivalent (desirable).
- INX Software experience (desirable).
- Pronto accounting experience (desirable).
- Previous experience managing personnel mobilisation / demobilisation (desirable).
- Previous experience developing and maintaining contractor and supplier relationships (desirable).
