Project Coordinator

About the role

Bestoked Pty Ltd, an established event construction company is looking for a talented Project Coordinator. You’ll be the organisational glue that keeps our event builds running smoothly. Working closely with Project Directors for both states (VIC and NSW) and Clients you’ll coordinate schedules, documentation, logistics, and communication across multiple live projects. You’ll also work with suppliers and site crews on installations. This is a hands-on, fast-paced role suited to someone who thrives on problem-solving, communication, details and seeing projects come together in the real world.

What you'll be doing

• Support Project Directors across multiple event construction projects from planning through to bump-out

• Key liaison with clients on all project requirements

• Coordinate schedules, materials and resources to ensure project milestones are met on time and within budget

• Coordinate internal teams, contractors, and suppliers to ensure deadlines are met

• Prepare and maintain project documentation (scope, drawings, permits, WHS docs, budgets)

• Assist with site inductions, schedules, and on-site coordination as required

• Help manage changes, issues, and last-minute problem-solving during builds

What we're looking for

You’re organised, proactive, and calm under pressure. Detail focussed, you like lists, timelines, and ticking things off—but you’re also adaptable when plans inevitably change.

You’ll ideally have:

• Experience in project coordination, production, events, or similar industries

• Strong organisational and time-management skills with exceptional attention to detail.

• Confidence communicating with a wide range of stakeholders

• A practical mindset and willingness to get hands-on when needed

• Good working knowledge of Google Workspace/Microsoft Office/MS project

• A proven understanding of event or construction environments
