About the Role

We are seeking an organized, detail-oriented Weighbridge & Administration Officer to join our team. This dual-focus role bridges the gap between our physical yard operations and our corporate office.

You will be the first point of contact for truck drivers and growers, managing our weighbridge operations while providing vital support across finance, payroll, and transport operations/compliance.

Key Responsibilities

Weighbridge & Operations Support

• Operate the weighbridge in accordance with regulations, codes, and procedures.

• Coordinate daily site bookings and liaise directly with truck drivers and growers.

• Track and maintain up-to-date purchase and sales contract tonnages.

• Assist with inventory management to ensure accurate on-site stock levels.

• Maintain the cleanliness, calibration, and accuracy of the weighbridge facility.

Accounts & Payroll Assistance

• Debtors: Prepare and process invoices, reconcile statements, and handle customer inquiries.

• Creditors: Process supplier and subcontractor invoices, payments, and queries.

• Payroll: Collate and check driver timesheets, assist with pay runs, and manage related admin.

• Generate weekly tickets, invoices, and monthly statements.

Compliance & Administration

• Support transport accreditation schemes, including NHVAS and the Grain Harvest Management Scheme (GHMS).

• Audit transport administration data, including logbook pages and fatigue compliance.

• Answer incoming calls, manage email inboxes, and assist with general office filing and data entry.

About You

• Experience: Previous experience operating a weighbridge is preferred. Previous experience processing payroll and timesheets is required.

• Industry Knowledge: Experience within the grain, agriculture, or bulk transport industry is highly advantageous.

• Compliance Savvy: Familiarity with heavy vehicle compliance (NHVAS, GHMS, driver logbooks) is a strong asset.

• Tech Skills: Proficient in the MS Office Suite (especially Excel for fuel and tonnage tracking) and accounting data entry.

• Communication: Exceptional interpersonal and customer service skills, with the confidence to communicate effectively with corporate staff, growers, and truck drivers alike.

• Attributes: High attention to detail, strong time-management skills, and the ability to work independently in a fast-paced environment.
