Virbac Australia has an exciting opportunity for a highly organized Commercial Operations Coordinator to join our team in Milperra.

Reporting directly to the National Commercial Operations Manager, the Commercial Operations Coordinator is responsible for providing high-level, day-to-day operational and administrative support across a dynamic commercial division. This role acts as the operational glue for the team, facilitating cross-team communication between Marketing, Commercial, Finance, and Industrial Operations. By assisting with strategic projects, new product launches, event planning, and the continuous improvement of executive workflows, this coordinator ensures the broader commercial team is highly aligned, well-documented, and operationally equipped to achieve their goals.

The key areas of accountability for this role are:

• Operational & Administrative Support: Provide comprehensive, day-to-day operational and administrative support to the Commercial division in a fast-paced, dynamic environment. Proactively identify opportunities to improve systems, refine executive workflows, and develop standardized templates and checklists to increase team efficiency.

• Documentation, Reporting & Compliance: Maintain accurate operational records and ensure all compliance documentation is up-to-date, securely stored, and easily accessible. Draft, format, and proofread commercial reports, executive presentations, internal communications, and other key business documents.

• Project, Product Launches & Promotions Coordination: Work closely with the broader commercial team to provide hands-on coordination and support for strategic projects, new product launches, and commercial promotions. Liaise directly with the sales teams to administratively assist with the roll-out and execution of commercial promotions, ensuring field teams are fully supported.

• Event & Meeting Management: Assist with the planning and logistical execution of internal meetings, workshops, team off-sites, and large-scale industry events. Coordinate scheduling, venue bookings, catering, travel arrangements, materials preparation, and on-the-day logistical support.

• Cross-Functional Communication: Facilitate clear and effective cross-team communication, acting as a reliable operational liaison between Marketing, Commercial, Finance, and Industrial Operations.

You're someone who:

• Holds a Degree/Diploma in Business Administration, Communications, Commerce, or equivalent practical experience.

• Has 2 to 3 years of experience in team coordination, operations support, event planning, executive administration, or a similar cross-functional support role.

• Demonstrates high proficiency in general business software (Google Workspace, MS Office) with a strong ability to draft professional presentations and reports.

• Has proven capability in event planning, meeting coordination, and logistical management.

• Has strong skills in workflow management, improving operational checklists, and maintaining compliance records.

• Possesses excellent organizational and time-management skills to thrive and prioritize tasks in a dynamic, fast-paced environment.

• Brings a proactive, highly organized, and supportive mindset with exceptional attention to detail for documentation, reporting, and event planning.
