About the Role
We are looking for an organised, proactive, and capable Administration Coordinator to join our team in a newly created position within our financial services business.
The role will initially commence on a part-time basis under a six-month contract, with the potential to increase to full-time hours and transition into a permanent position as the role and business needs grow.
While initially part-time, the hours will be spread across five days per week and the role will be based in our Sydney office each day. As this is a hands-on support role, having someone in the office each day is an important part of the position.
As this is a new position within the business, there is a genuine opportunity for the successful person to make the role their own. Initially, the focus will be on providing practical, hands-on administrative and office support, with the scope to take on additional responsibilities over time based on the individual’s strengths and the evolving needs of the business.
This role would suit someone with previous experience in administration or office support within professional services, and who enjoys variety, takes pride in being organised and likes being the person who helps keep things running smoothly behind the scenes.
What You’ll Be Doing
You’ll provide day-to-day administrative support across the business, including managing shared inboxes, maintaining records and documentation, assisting with invoicing and expenses, and supporting employee onboarding.
An important part of the role will be helping to keep the office organised and running smoothly. You’ll coordinate office supplies and deliveries, liaise with suppliers, and prepare meeting rooms for client meetings and workshops. This includes ensuring rooms are appropriately set up, organising catering and refreshments when required, and making sure meeting room technology is ready to go.
You’ll also assist with coordinating internal & client meetings, team activities and client events, along with other general administrative support as required.
As the role develops, there will be opportunities to take ownership of additional responsibilities and shape the position around both your strengths and the needs of the business.
About You
You’ll have previous experience working in an administration, office support, team assistant or similar role within professional services, and be comfortable managing day-to-day administrative responsibilities with a level of independence.
You’ll be organised and reliable, with excellent attention to detail and strong written and verbal communication skills. You’ll have a professional and friendly manner and be comfortable dealing with colleagues, clients, suppliers and other external contacts.
You’ll be confident using Microsoft Office, particularly Outlook, Word and PowerPoint, and comfortable learning new software and business systems.
Most importantly, you’ll be someone who takes initiative, follows things through and is happy to pitch in where needed. As this is a new role, we’re looking for someone who is adaptable, practical and comfortable with the position evolving over time.
