Senior Administration / Finance Officer (Full time, Ongoing)
We are seeking a suitably qualified person to fill the role of Senior Administration / Finance Officer to work in an ongoing full-time position. Should the successful candidate be new to working in Catholic Education Western Australia, appropriate training would be provided to support their transition.
The successful applicant will be appropriately qualified and/or experienced, demonstrate enthusiasm and ability to provide the appropriate support in financial management and be able to provide assistance to the Principal, whilst supporting and respecting the ethos of the school and its environment.
About the Role
This position is responsible for a range of tasks necessary for the daily running of the school. The successful applicant will work closely with the Business Manager, Principal and Head of Campus. There is a very high level of interaction with students and their parents/carers.
Administrative Tasks:
• Deliver friendly front office service, managing enquiries and payments.
• Direct enquiries to appropriate staff and manage visitor sign-in/out.
• Oversee student attendance, records and communication.
• Generation of school and student data files as required by various government
departments and CEWA.
• Coordinate principal diary.
• Manage sick bay, first aid and medical needs.
• Coordinate mail, events and general administration.
• Maintain supplies, lost property and term planners.
• Liaise with external providers and coordinate bookings/schedules.
• Support school events, team collaboration and a positive school image.
Financial Responsibilities
• Manage accounts receivable and payable processes – including receipting to debtors accounts and processing of invoices and school credit card transactions.
• Submit Business Activity Statements (BAS)
• Support budgeting, reporting, and compliance requirements
• Assist with administration of payroll function including creation of employee contracts, processing payroll journals and casual relief timesheets/staff additional hours.
This role requires a high level of organisation, attention to detail, and the ability to work both independently and collaboratively within a school environment.
Selection Criteria:
Applicants must be able to demonstrate a high degree of proficiency in the following areas:
• A commitment to Catholic education and the ethos of a Catholic school
• Experience with financial procedures including accounts payable, accounts receivable,
BAS, and general ledger processing
• Sound knowledge of, or ability to understand and monitor, official reporting requirements relating to students and Census data.
• Microsoft 365 – AoS Finance and operations and student management applications, outlook and TEAMs.
• Excellent communication, interpersonal skills and customer service
• A high level of professionalism, confidentiality, and attention to detail
• Strong computer skills, including Microsoft Applications and financial systems.
• Flexibility and the ability to respond to changing priorities
• Initiative and the ability to work independently
• Demonstrated organisational skills and effective time management.
• Ability to work autonomously and in a busy team.
Qualifications Required
• Experience with financial or bookkeeping functions.
• Experience with SIRS, SEQTA, MyHR and AoS databases is highly advantageous.
• Experience in a school environment would be an advantage but is not essential.
• Accreditation to Work in a Catholic School (or willingness to attain)
• Working With Children Check (WWC)
• A current National Police History Check as issued by the Department of Education Western Australia must also be included. The appropriate Criminal History Record Check form is available from the Department of Education website.
