Receptionist

About the role

The Three Seas Psychology Group is seeking a Receptionist to join our team on a casual basis. This is a key position that serves as the first point of contact for our clients and plays a vital role in ensuring smooth operations across our practice. Based in Richmond, VIC 3121, you will be responsible for managing our front desk, welcoming clients, and supporting the administrative functions that keep our psychology practice running efficiently. This role is essential to creating a professional and welcoming environment for both our clients and clinical staff.

What you'll be doing

• Greeting clients as they arrive and providing them with a warm, professional welcome

• Managing appointment scheduling and maintaining accurate client records using practice management software

• Processing payments and managing financial transactions with accuracy and confidentiality

• Answering telephone enquiries and directing calls to appropriate staff members

• Maintaining a clean, organised and professional reception area

• Assisting with administrative tasks such as filing, photocopying and general office duties

• Processing client paperwork and ensuring all documentation is complete and properly filed

• Supporting clinicians by managing schedules and providing administrative assistance as needed

• Maintaining strict confidentiality and adhering to privacy regulations relevant to healthcare settings

• Handling client enquiries with empathy and professionalism

What we're looking for

• Previous reception or front-desk experience, preferably in a healthcare, medical or allied health setting

• Strong organisational and time-management skills with the ability to manage multiple tasks simultaneously

• Excellent communication skills, both written and verbal

• Proficiency with computer systems and practice management software (training can be provided)

• Professional demeanour and the ability to remain calm under pressure

• A genuine empathy and patience when interacting with clients who may be experiencing emotional distress

• Discretion and commitment to maintaining client confidentiality and privacy

• Attention to detail and accuracy in administrative tasks

• Flexibility and willingness to adapt to a casual working arrangement

• A commitment to providing exceptional customer service
