Wedding & Events Coordinator

About the role

Stonehurst Cedar Creek is seeking a creative and organised Wedding & Events Coordinator to join our team on a part-time basis (3-4 days/week including weekends), with flexibility to increase hours during peak wedding season. Based in the Hunter Valley, this role offers an exciting opportunity to be at the heart of creating memorable celebrations for our clients. Working alongside our experienced Wedding Coordinator, you'll guide couples from their first enquiry through to their wedding day, ensuring every detail is thoughtfully planned and every experience exceeds expectations. You'll also play an important role in showcasing our venue to prospective couples and supporting the seamless delivery of weddings on the property.

Key responsibilities

• Manage all aspects of event planning, including initial client enquiries, venue site tours and consultations with prospective clients;

• Coordinate wedding and event planning meetings and timelines;

• Liaise with couples, suppliers and vendors leading up to each wedding or event;

• Prepare run sheets and ensure all event details are accurately communicated;

• Assist with ceremony rehearsals and wedding day coordination;

• Ensure the venue is presented to an exceptional standard for every event;

• Provide outstanding customer service and build genuine relationships with clients;

• Assist with administrative tasks, CRM management and wedding documentation;

• Work collaboratively with the wider Stonehurst team to deliver exceptional guest experiences.

What we're looking for

• Exceptional organisational skills and attention to detail;

• Outstanding communication and interpersonal skills;

• A warm, friendly and professional approach;

• Confidence working both independently and within a small team;

• Strong problem-solving skills and the ability to remain calm under pressure;

• Excellent time management and the ability to juggle multiple events at different stages of planning;

• Proficiency with Microsoft Office and confidence learning new software;

• Experience in weddings, events, hospitality or tourism (preferred but not essential);

• Availability to work weekends as required for weddings;

• A current RSA (or willingness to obtain one).
