The RoleThe Operations Coordinator at Koster Kulture plays a key role in managing and streamlining the day-to-day operations of the business, ensuring the efficient flow of orders, inventory, and information across the company. This role involves coordinating between production, fulfilment, customer service, and marketing, maintaining communication with suppliers and freight partners, and ensuring that operational processes align with Koster Kulture's standards and business objectives.
Key ResponsibilitiesProcess & WorkflowCoordinate between departments (production, fulfilment, customer service, marketing) so nothing falls through the cracksMaintain and improve standard operating procedures (SOPs)Track deadlines, deliverables, and follow up on outstanding tasks
Logistics, Fulfilment & Supply ChainManage inventory, stock levels, and supplier orders, helping forecast demand and set reorder points to avoid stockouts or overstockCoordinate shipping, order fulfilment, and returns, including domestic and international freight where applicableLiaise with couriers, warehouses, and manufacturers, and support customs/import coordination for overseas suppliersTrack supplier lead times and delivery performance, flagging risks (delays, shortages, cost increases) before they become problemsSupport day-to-day warehousing needs — stock transfers, storage organisation, and coordination with 3PLs or fulfilment partnersHelp identify opportunities to improve freight costs, delivery speed, or supplier terms, and feed these up for decision-making
Admin & SupportSchedule meetings, manage calendars, and handle correspondenceData entry and record-keeping (orders, invoices, supplier contracts)Pull together basic reporting for the owner/manager to review
Vendor CoordinationAct as a point of contact for suppliers, contractors, on operational issuesHandle customer service escalations relating to order/fulfilment problems
Systems & ToolsKeep platforms updated (e.g. Shopify, inventory systems, CRM)Flag inefficiencies and help implement small process improvements
What You'll BringMinimum of 3 years of experience in production or operations coordination or a similar role, within the fashion or luxury retail industry.Strong organisational and time-management skills.Excellent communication and interpersonal skills.Attention to detail and a proactive approach to problem-solving.Ability to work in a fast-paced environment and manage multiple tasks simultaneously.Proficiency in Google Suite and Excel and production management software.Knowledge of production processes, quality control, and supply chain management.
